How to book a private chef on behalf of a guest
Every guest request follows the same six-step flow in your PCM marketplace. Run through it once and it becomes routine — the steps don't change regardless of destination, service type, or guest profile.
⚠️ All bookings must go through your branded marketplace dashboard. Never arrange a chef booking outside the platform.
How it works
- Open your marketplace and fill in the search bar. Enter location, event date, meal type (Lunch or Dinner), and number of guests. Click Find a Chef. Location is required; date and time are optional for browsing but required to proceed to checkout.
- Browse available chef menus. A grid of chefs appears. Each card shows chef name, rating, menu name, number of courses, cuisine style, and price per person. Click any card to see the full menu and price breakdown.
- Review the menu and click "Book now!" The detail page confirms date, meal type, guest count, and total price. Clicking Book now! does not charge anything yet — you're starting the booking form.
- Complete the booking form. Confirm event details, set chef arrival time, and fill in the guest name. Under "Who is making this booking?" select "I'm an employee" for the concierge flow. Use Message to chef for dietary notes, access codes, or special requirements — this field locks after payment.
- Select payment method and confirm. Choose credit card and click Confirm and pay. Payment is collected at this point. The booking is now confirmed.
- Check your dashboard and share the proposal. A BOOKING CONFIRMED email arrives from info@privatechefmanager.com. The booking appears in My Proposals. Use ••• to View, Manage, or Share the proposal link — guests can review it without logging in.
Common FAQ
What if the guest wants to browse and book themselves?
Share your marketplace link from My marketplace link at the top of your dashboard. Guests select "I'm the guest" at checkout. The booking appears with SOURCE = Guest.
Can I modify the menu after payment?
No. Once payment is confirmed the menu cannot be changed. All requirements must go in the Message to chef field before you click Confirm and pay.
Is selecting a menu enough to confirm the booking?
No. A booking is only confirmed once payment is completed. Never tell a guest a booking is confirmed until payment has gone through.
What if I need a chef urgently or on the same day?
Submit through the platform as normal, then also contact PCM at 24seven@takeachef.com. Same-day availability is not guaranteed but PCM will work to find a match.
Do I need to share the proposal link with the guest?
Recommended but not required. Sharing it ahead of the service sets expectations and reduces day-of questions.
⭐ Partner Tip — Message to Chef Is Your Only Window. Once payment goes through, the menu is locked. Build a standard checkout checklist for your team: dietary restrictions, property access, parking, table setup preferences, chef arrival notes. A complete message at booking time prevents most day-of issues.
