The first contact you have with a new potential guest is critical to your booking chances. At Take a Chef we want to give you freedom to be yourself while still holding high quality standards of service for our guests. That’s why we bring you some insider tips to ensure you handle this stage of your service like a pro.

Establishing Contact with our Guest

Be Quick and Effective

  • Respond promptly: Each client receives a maximum of three proposals, so responding promptly will increase your chances of securing a spot. 
    • Remember that you can only message a guest if you are one of the first three Chefs to submit a proposal.
  • Pre-set menus: Create these to quickly respond to new requests. You can adjust them as needed to meet each specific guest’s requirements.
  • Update your calendar: Keeping your calendar updated prevents getting requests you’re not available for, so you can concentrate on the ones that align with your interests.

Break the Ice:

  • Introduce yourself: A personalized introduction sets a welcoming tone, makes you appear approachable and breaks the ice. Briefly share your culinary style or express enthusiasm for the event.
  • Be open to modifications: Show your flexibility and willingness to meet the guest's desires. Your menu customization service is one big driver behind their motivation to hire a private Chef.
  • Customize responses: Directly reference details from the notes on the request when you craft your messages. This shows attentiveness to their needs, and makes your proposal more appealing.
  • Encourage feedback: Let guests know you're open to answering any queries or listening to their opinions on the proposal. Be proactive with your communication and put yourself at their service.

Closing the Deal

Once you’ve sent your menu proposal, the service request will change status from New to In Process. Find below some actions that will help you transform an In Process request into a confirmed booking

  • Stay responsive: Delayed replies might lead guests to consider other Chefs. Keep an eye on your inbox and set realistic expectations with your guests about your response times, especially during peak hours.
  • Be flexible: Flexibility reassures guests that you can adapt to their preferences or dietary needs, and that you are committed to provide a great experience.

Chef’s Tip - As long as the request status is In Process you can still modify your proposal to meet your guest’s wishes. Once the request is Confirmed, changes are no longer applicable.

Following Up with the Guests

Give your guests the attention they need. Here are some strategies to keep in touch in different situations:

  • Unresponsive guests: A polite follow-up can rekindle their interest.
  • Approaching cut-off time: Remind guests about deadlines to properly plan and prepare their service.
  • Juggling multiple interests: If other guests are interested in the same date, be transparent and communicate that, this might nudge guests into booking the service.
